Introduction
This paper sets out a Privacy Policy for Investors in Lincoln. The paper has been prepared by taking a number of similar policies produced by a cross section of different organisations and combining relevant content.
The document was accepted as it stands by the Investors Board in 2018 and is formal policy for both organisations.

This includes when you request information from us, contact us (or we contact you), buy products or services from us, apply for and/or receive grant support, use our website or connect with us via social media (if applicable). This also includes when we are required by law to hold personal data.

Purpose of this Privacy Notice
This Privacy Notice provides information on how Investors in Lincoln/LEAP collects and processes personal data in our dealings with you.
Controller
David Rossington (Chief Executive and Company Secretary of Investors in Lincoln) is the controller of your personal data.
The Data we collect about you.
Identity Data:
This might include some or all of the following… first name, last name, date of birth, employment position including company details, photographs and/or videos used for PR purposes, but only with the express permission of the individual(s) concerned.
Contact Data:
This might include some or all of the following…address (home and/or business), email address, website (if applicable), telephone numbers, social media contact information (if applicable).
Transaction Data:
This might include some or all of the following…details of any products or services that you have bought from us or provided to us, bank account details (Sort Code and Account Number) if payments have been made via bank transfer for products or services or for grant payment. Applications for grant support…for example Community Chest. Details for joint venture contracts or similar operational agreements.
Board and Sub-Group Meetings
We record attendance at meetings and apologies for not attending meetings. We record views expressed at meetings and this might be attributed to particular individuals from time to time. Attendance and views might relate to both Directors/Officers of Investors in Lincoln and to those attending on behalf of other organisations. Minutes and other papers will be circulated to people attending a meeting and in some instances to others with a legitimate interest in the issues under discussion, eg notes from sub-group meetings might be copied to Directors who were not directly involved for information.
How do we collect information about you?
We collect personal data from you in a variety of ways including, via application forms if applying for grant support, via contracts…for example joint ventures to deliver specific projects, via Company House information and via attendance at and comments made at meetings. The information may be collected electronically or by hard copy.
How do we store personal data about you?
We store information electronically and, on some occasions as hard copy. The City of Lincoln Council produces and stores some information including Minutes and other papers relating to Board meetings of Investors in Lincoln. All information is held on password protected computers.
What do we do with the personal data that we hold?
Personal data that we hold is used for the purposes of running the company. The data is not sold or passed to any external organisation, other than where required by law (eg Annual Confirmation Statement) and to lawyers and/or auditors or for other operational purposes, for example to organisations that we are working with to deliver particular programmes where this is required as part of a contract.
Limited Personal Data (for example name and position) might be used from time to time on our Website or in PR material, but only with the express permission of the individual(s) concerned.
When sending information to groups of people via email or other electronic means we address the material to ourselves and send ‘blind copies’ to all other recipients, unless we have agreed otherwise. For example communications to the Board members of Investors will usually be sent as a group email directly to those involved in order to facilitate discussion and debate via the ‘reply all’ options.
